Introduction

Ideanix Labs Inc (“we”, “us”, or “our”), an Ontario corporation, operates HuddleSpot (“the Service”), an all-in-one community platform for creators, coaches, educators, and brands. This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our Service.

This policy describes our practices; it does not replace any consent required by law. Where consent is required, we will seek it separately, and you may withdraw it subject to applicable law.

Community Builders and Member Information

Community builders determine how they use member information to operate their communities and deliver their offerings. They are responsible for their privacy notices, lawful collection and use, permissions, and responses to requests about their own processing. Review the builder's privacy information before joining a community or making a purchase.

Where we process community information on a builder's behalf, we follow its lawful instructions through the Service and any applicable written data-processing agreement, unless law requires otherwise. We remain responsible for our own uses, including account administration, platform billing, security, and legal compliance. We cooperate with builders on privacy requests and relevant security incidents as required by law.

Contact the builder about its community practices, or legal@huddlespot.io about HuddleSpot's practices. Builders may independently hold copies of information; deleting your HuddleSpot account does not automatically delete those copies or remove their legal duties.

Information We Collect

We collect several types of information to provide and improve the Service:

Account Information

When you create an account, we collect your email address, organization or community name, display name, and your role (community builder or member). Community builders may also provide billing details for subscription management.

Community Content

We store content you create on the platform, including community posts, discussion threads, course materials, comments, and any files or media you upload.

Usage Data

We automatically collect usage information such as pages visited, features used, access logs, browser type, device information, and IP address. This data helps us understand how the Service is used and how we can improve it.

Payment Data

Payment processing is handled by Stripe. We do not store your full credit card number or payment credentials on our servers. Stripe may collect and store payment information in accordance with their own privacy policy.

How We Use Your Information

We use the information we collect to:

• Provide, operate, and maintain the Service
• Process transactions and manage subscriptions through Stripe
• Enable community builders to host communities, create courses, run discussions, and manage paid memberships
• Send transactional emails such as account confirmations, password resets, and billing notifications
• Analyze usage patterns to improve the Service and develop new features
• Monitor and prevent abuse, fraud, and security threats
• Comply with legal obligations

Third-Party Services

We use the following third-party services that may collect or process your data:

• Stripe — payment processing for subscriptions and membership payments
• PostHog — product analytics to understand how users interact with the Service
• Sentry — error monitoring and performance tracking to maintain Service reliability
• Hosting infrastructure — cloud providers used to host and deliver the Service

We remain accountable for personal information processed on our behalf as required by applicable law, including applicable contractual and safeguarding obligations. Providers may also process information independently under their own privacy policies, depending on the service and their role. Optional integrations you choose to connect may have separate privacy practices; review those practices before connecting them.

Google User Data

If you sign in to HuddleSpot with Google, we receive your basic profile information (name, email address, profile picture, and Google account ID) to create and authenticate your account. We do not access Gmail, Drive, Calendar, or other Google services.

HuddleSpot's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

You may revoke HuddleSpot's access to your Google account at any time via your Google account permissions page.

Data Storage and Security

Your data is stored on servers located in Canada and the European Union. We implement industry-standard security measures to protect your information, including encryption in transit and at rest, access controls, and regular security assessments. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. If you delete your account, we will delete or anonymize your personal data within 90 days, except where we are required to retain it for legal, accounting, or compliance purposes.

Your Rights

Depending on your jurisdiction, you may have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Object to or restrict certain processing of your data
• Request a portable copy of your data
• Withdraw consent where processing is based on consent

Children's Privacy

The Service is for adults aged 18 or older who have legal capacity to agree to our Terms of Service. We do not knowingly collect personal information from people under 18. If you believe a person under 18 has provided personal information, contact us so we can investigate and take appropriate steps to remove it, subject to legally required retention.

Changes to This Policy

We may update this Privacy Policy from time to time. We will publish the revised policy and its revision date here and send direct notice of material changes to your account email at least 30 days before they take effect. Urgent legal or security changes may take effect sooner, with as much notice as reasonably possible. We will obtain any new consent required by law before processing information on that basis; continued use alone does not replace it.
